Night fuel drain on branch pool vehicles

Branch vehicles were refuelled — yet consumption could not be explained by movement.
Once fuel linked to movement, branch variance became explainable — not debated in meetings.

The challenge
A Dhaka-based corporate fleet ran sedans and SUVs for branches and executives. Finance approved fuel vouchers every week, but cost per kilometre kept rising. Control room had no link between refill events, trip authorisation, and live tank level.
What went wrong
- Fuel bills up 18% year-on-year while trip count was flat
- Drivers submitted slips for depots never visited on GPS playback
- Night-time tank drain alerts on two vehicles with no trip record
- Branch managers could not explain litres between Friday refill and Monday
Before VMS
Weekly slips approved on trust. No live map. Tank level unknown between refills.
After Autonemo
Every litre tied to trip or flagged. Branch dashboard shows KM/L and drain events.
How it was investigated
Operations imported one month of fuel entries and GPS history into Autonemo VMS Pro. Refills were matched to vehicle and trip. Drain alerts were correlated with ignition-off periods near non-branch locations.
Rollout timeline
- Week 1
Fuel + GPS data imported; baseline KM/L per branch set.
- Week 2
Trip-gated refill rule live; supervisors trained on exception report.
- Week 4
Drain alerts correlated with off-route idle; HR review on repeat units.
- Week 8
Finance policy: no payment without trip-linked fuel entry.
Solution with Autonemo VMS Pro
- Trip-gated fuel entry — refill blocked unless vehicle had approved movement
- GPS mileage vs voucher litres — exception report for supervisors
- Optional fuel sensor / BLE tank probe with drain notification
- Branch-wise fuel P&L on management dashboard
Technology used
VMS modules
Outcomes
- Unexplained fuel variance dropped within two billing cycles
- Two repeat offenders identified via drain + off-route pattern
- Finance stopped paying duplicate slips without trip reference
